Step-by-Step Guide

Online Invitations: Create, Share and Track RSVPs

This guide helps you create an online invitation for a reservation, share its link with your couple and their guests, and track RSVP responses from the panel.

Who can use it?

Digital invitations are available on the Pro plan for wedding halls, event venues and event organizers, at no extra cost. In these sectors the menu item is called “Invitations & EventDrop”.

1

How to create an invitation

You can start an invitation from three places: the “Create e-invitation” switch in the new reservation form, “Create invitation” on the “Invitations & EventDrop” card of a saved reservation, or “New invitation” on the “Invitations & EventDrop” page in the menu. Fill in the form like this:

  1. 1Choose the “Event type”. If you have programs, the list appears as “Select program”; otherwise you pick a type such as Wedding, Engagement or Henna night.
  2. 2Fill in the “Event title”, “Name 1” and “Name 2”, the date and the time.
  3. 3Enter the “Venue name” and “Address”; the map and the “Get Directions” button on the guest page use this information.
  4. 4If you like, add a “Custom message” and “Extra info” (such as the civil ceremony location or the time the bride is picked up).
  5. 5Choose a “Template” that suits the event type and set the “Font” and “Text color”. If you don't like the templates, use “Upload your own invitation image” instead.
  6. 6Tap “Create invitation”. The invitation is published right away and its link is created.
Note: If you upload your own image, the names, date and venue aren't printed on top of it; make sure this information is already in your image.
Tip: When you start from a reservation, the names, the date and your saved default venue are filled in for you.
2

Automatic drafts and invitation settings

  • The gear icon at the top right of the “Invitations & EventDrop” page opens “Invitation settings”. There you set the “Default template”, your “Saved addresses” and “EventDrop on by default”.
  • While “Auto-create invitation” is on, an invitation draft is created automatically for new reservations. After changing the setting, don't forget to tap “Save”; unsaved settings aren't applied.
  • A draft's link doesn't open for guests. Check the draft and tap “Publish” on the reservation card or in the invitation details.
  • Automatic drafts don't get an EventDrop link; if you want one, add it with “Create” on the reservation card.
3

Sharing the invitation

  1. 1On the reservation's “Invitations & EventDrop” card, tap “Copy” or “Share” under “Invitation link”; use “Open” to check the page your guests will see.
  2. 2The invitation details also have “Copy invitation link”, “Share” and “View invitation” buttons.
  3. 3“Share” opens your phone's share menu. Send the link to your couple via WhatsApp or any app you like; they then pass it on to their guests.
  • Ajandam doesn't send the invitation by SMS or WhatsApp on its own; you share the link yourself.
  • Guests don't need to sign up. The invitation page has a countdown, a venue map and “Get Directions”, “Share” and “Download” buttons.
Note: The link only works for a published invitation. Guests who open the link of a draft or archived invitation see an “Invitation Not Found” page.
4

Tracking RSVP responses

Guests respond with the “Confirm Your Attendance” button on the invitation page: they choose whether they'll attend, can't attend or might attend, enter their name and, if attending, say how many people are coming. The phone and message fields are optional.

  1. 1The reservation's “Invitations & EventDrop” card shows a summary of how many people are attending (“… attending”).
  2. 2For details, tap “Manage” on the card (or “Details”, depending on your permissions), or tap the invitation on the “Invitations & EventDrop” page.
  3. 3The “Attendance responses (RSVP)” section shows the “Attending”, “Not attending” and “Maybe” counts.
  4. 4Open the “Guest list” to see each guest's name, note and party size.
  • The “Attending” box shows the total number of people coming; the other two boxes show the number of responses.
  • If a guest responds again with the same phone number, their response is updated.
  • You aren't notified when a new response comes in, and the list can't be exported; you follow the responses in the panel.
  • The response form closes once the event time has passed.
Note: The names of guests who say they'll attend or might attend are visible to everyone in the “Attendees” list on the invitation page; phone numbers are not shown.
5

Editing and deleting

  • In the invitation details, tap “Edit” to open the “Edit invitation” screen and change the details and the template.
  • After making changes, use “View invitation” to check the page and the image your guests see.
  • Invitation and EventDrop links are deleted automatically 3 months after the event date.
  • If you delete the invitation, all RSVP responses are deleted too, and the photos and videos uploaded to EventDrop are permanently lost.

Frequently Asked Questions

Do guests need to sign up?

No. Guests open the link to see the invitation and respond by entering their name.

No, the invitation isn't sent by automatic message. You pass on the link with “Copy” or “Share”, and your couple shares it with their guests.

Do invitations cost extra, and how many can I create?

Digital invitations are included in the Pro plan; there's no extra charge and no limit on the number of invitations.

Can I add my own template?

Templates are prepared by Ajandam; businesses can't add templates. Instead, you can use an image you designed yourself with “Upload your own invitation image”.
