Step-by-Step Guide

EventDrop: Collect Your Guests' Photos and Videos

This guide helps you create the EventDrop link, share the QR code with guests and see where the uploaded photos are collected.

Who can use it?

EventDrop is part of the online invitation: it's available on the Pro plan for wedding halls, event venues and event organizers. It doesn't cost anything extra.

1

What is EventDrop?

EventDrop is an upload page dedicated to your event. Guests scan the QR code with their phone or open the link and upload the photos and videos they took at the event, so all the memories end up in one place.

  • Every EventDrop is linked to an invitation; it can't be created without one.
  • The QR code opens the upload page directly. It also appears on the invitation page as the “Share Your Memories” section with an “📸 Upload Photos & Videos” button.
  • You can see each invitation's EventDrop status in the list on the “Invitations & EventDrop” page: “EventDrop ready”, “EventDrop pending” (the link hasn't been created yet) or “EventDrop off”.
2

How to create EventDrop

You can create the EventDrop link in three ways:

  1. 1In the new reservation form, turn on “Create e-invitation” and then “EventDrop link” below it. After you save the reservation, the invitation form opens; when you create the invitation, the EventDrop link is created too.
  2. 2In a saved reservation, tap “Create” in the EventDrop part of the invitation on the “Invitations & EventDrop” card; if EventDrop is off, use “Add EventDrop link”.
  3. 3When you prepare an invitation with “New invitation” on the “Invitations & EventDrop” page, leave the “EventDrop QR code” switch on.
Note: Invitation drafts created automatically don't get an EventDrop link on their own. You need to tap “Create” on the reservation card.
Tip: The “EventDrop on by default” switch in “Invitation settings” decides whether EventDrop is turned on for new invitations.
3

How to share it with guests

  1. 1On the reservation's “Invitations & EventDrop” card, tap “QR code”. The “EventDrop QR code” window shows the QR code and the link.
  2. 2Use “Download” to save the QR code as a high-resolution image (PNG); you can print it on table cards, a board or a poster. On iPhone and iPad, “Download” opens the share sheet; save the image from there.
  3. 3Use “Copy” to copy the link, or “Share” to send it from your phone's share menu with an app such as WhatsApp.
  4. 4You can do the same in the invitation details with the “Copy EventDrop link”, “Download QR” and “Share QR” buttons.
Tip: Placing the QR code at the entrance, on the tables or at the photo corner makes it easier for guests to upload.
4

Where do the photos end up?

  • The photos and videos guests upload are collected on the EventDrop page; they aren't transferred to Ajandam's gallery module or to the reservation's photos.
  • To see the uploads, tap “Open” on the reservation card or in the invitation details; the EventDrop page opens in your browser.
  • Your couple reaches the page with the same link or QR code.
Note: Invitation and EventDrop links are deleted automatically 3 months after the event date. If you delete the invitation yourself, the EventDrop event and all the photos and videos guests uploaded are permanently deleted too; this can't be undone. Remind your couple of this deadline in advance.
5

If EventDrop can't be created

  • If you see “Couldn't reach the EventDrop service”, check your internet connection and tap “Try again”.
  • If you see “The EventDrop service isn't responding right now” or that it's “receiving too many requests”, wait a while and try again.
  • If you see “The invitation's event date couldn't be read”, edit the invitation's date and try again.
  • If EventDrop wasn't created while saving, the invitation is still saved; you can try again with “Create” on the reservation's “Invitations & EventDrop” card.
