Step-by-Step Guide

e-Invoice and e-Archive: Connecting and Issuing Invoices

This guide helps you set up your e-invoice connection in the Ajandam panel and issue your first invoice. For steps of the onboarding process such as the e-seal and activation, it points you to the e-Invoice FAQ page.

Before you start

e-Invoicing is a Pro plan feature. Every document sent and received with Ajandam e-Invoice uses 1 credit; if you connect your KolayBi or Paraşüt account instead, no Ajandam credits are used.

1

Where to find the e-invoice screens

  • Your invoices: on a wide screen, “e-Invoices” in the “Income / expense” group of the left menu; on a phone or tablet, “e-Invoices” in the “All” menu at the bottom.
  • Connection settings: the gear icon (“Integration settings”) at the top right of the “e-Invoices” screen opens the “e-Invoice integration” page.
  • Settings also has two cards: “Start e-Invoicing” for applying and “Connect integrator” for connecting.
  • Your seller details: open “Profile” from the profile menu at the top right; they're in the “Billing details” and “Brand & photos” tabs.
2

No account yet? Apply

If you don't have an Ajandam e-Invoice account yet, you can apply from the panel; the account is created on your behalf.

  1. 1Tap the “Start e-Invoicing” card in Settings, or the “Start e-invoicing” card on the “e-Invoice integration” page.
  2. 2Fill in your company details (legal name, tax or national ID number, tax office, billing address), your e-invoice status, your e-seal/e-signature status and your contact details.
  3. 3Tick the four confirmation boxes and tap “Submit application”.
  4. 4Follow the process step by step on the “Your e-Invoice onboarding” card on the “e-Invoices” screen. Your user details arrive by email; check your spam folder too.
Tip: The e-seal, the Digital Tax Office activation, the activation appointment and the timelines are explained on the e-Invoice FAQ page. You can also apply on the ajandam.app/e-fatura page.

Connect your Ajandam e-Invoice account

  1. 1In the “Billing details” tab of your Profile, choose the “Taxpayer type” and fill in your tax number (a 10-digit tax ID for companies, an 11-digit national ID number for sole proprietors), your tax office and your billing address. If these details are missing, a “Billing details missing” notice opens instead of the connection window.
  2. 2In the “Brand & photos” tab of your Profile, enter your name exactly as registered with the tax office in “Legal name on invoice” and tap “Save name”; if it differs, GİB may reject the invoice.
  3. 3Open the “e-Invoice integration” page with the gear icon on the “e-Invoices” screen and tap “Connect” on the “Ajandam e-Invoice” card.
  4. 4In “Username” and “Password”, enter the details of the new user you added on the integrator portal's “Kullanıcı Tanımları” (User Definitions) page.
  5. 5Tap “Test”; after the “Connection successful!” message, tap “Save”. “Save” is only enabled after a successful test.
Note: Don't use the username you received when you first signed up: that user has to renew its password every 3 months, so the connection will break. Create a new user on the portal and enter that one.
Tip: Your tax number isn't a login detail; it appears on your invoices as the seller number and is taken from “Billing details” in your Profile. No separate username or password is needed for e-Archive.
4

If you have a KolayBi or Paraşüt account

  • Connect from the “Third-party integrators” section on the “e-Invoice integration” page. For KolayBi, enter the API key from your KolayBi panel and tap “Test” and then “Save”.
  • For Paraşüt, tap “Authorize in Paraşüt”; after granting access in Paraşüt, paste the “Authorization code” you receive and tap “Connect”.
5

Issue your first invoice

  1. 1To invoice a reservation, open it and tap “Add new invoice” in the “Invoice history” section; the recipient details and your payments come in as line items. For an invoice that isn't tied to a reservation, tap “New invoice” on the “e-Invoices” screen.
  2. 2Under “RECIPIENT INFORMATION”, turn on “Corporate / legal entity” and enter the tax ID if the recipient is a company; otherwise enter their national ID number.
  3. 3With the Ajandam e-Invoice connection, once the number is complete Ajandam checks whether the recipient is registered for e-invoicing: if you see “Registered e-invoice user”, an e-invoice is issued; if you see “Not an e-invoice user — an e-Archive invoice will be issued”, an e-Archive invoice is issued.
  4. 4Under “INVOICE INFORMATION”, check the date, invoice type, VAT rate and currency. The invoice date can be at most 7 days in the past.
  5. 5Under “LINE ITEMS”, check the product/service name, quantity and unit price; add rows with “Add new item” if needed.
  6. 6Check the PDF with “Preview”, then tap “Confirm & send”. Sending can take 15–30 seconds.
Note: If no integrator is connected, the “Confirm & send” button doesn't appear; the document stays a draft marked “DRAFT INVOICE — Not an official document.”
Tip: With “Save draft” you can keep an invoice without sending it. Drafts stay in the “Draft” tab, where you can send or delete them. There's no screen for editing drafts; delete a wrong draft and create it again.
6

Cancellations, errors and resending

  • You can start a cancellation with “Cancel” from the menu in the invoice list or from the invoice details. An e-Archive invoice is cancelled through the integrator. An e-invoice sent with Ajandam e-Invoice, however, is cancelled in the “İptal/İtiraz Talepleri” (cancellation/objection requests) section of the GİB e-Invoice Portal; the steps are shown on screen.
  • If sending fails, the invoice switches to the “Error” status; the reason and the GİB error code appear in the “Status history” of the invoice details.
  • If the cause is in your profile details or the connection, fix it and tap “Resend” in the list; if something is wrong in the invoice itself, create a new invoice.
  • You can respond to commercial invoices you receive with “Accept” or “Reject” within 8 days; responding doesn't use credits. If the deadline passes, the invoice counts as accepted.
  • In the details of a sent invoice, you can issue a return invoice with “Create return invoice”.
7

Credits and balance

  • Every document successfully sent with Ajandam e-Invoice (including return invoices) and every document you receive uses 1 credit. Accept/reject responses, schematron rejections, cancellations and retries don't use credits.
  • To buy credits, open “Credit packages” on the “e-Invoice integration” page; “Buy” takes you to the payment page on ajandam.app. The iPhone and iPad app doesn't show the packages; buy them on ajandam.app instead.
  • On desktop, your remaining credits appear in the e-invoice indicator in the top bar and on the “Credit packages” screen.
  • e-Invoice credits are valid for 1 year.
  • If you run out of credits, invoices aren't sent and you see a “You're out of credits” message.

Frequently Asked Questions

How do I know whether to issue an e-invoice or an e-Archive invoice?

With the Ajandam e-Invoice connection, the recipient's registration is checked when you enter their tax number: registered recipients get an e-invoice, everyone else an e-Archive invoice. If the check can't be done, a warning appears on screen; if you're unsure, choose e-Archive.

Can I issue invoices without connecting an integrator?

You can create a draft invoice and share it as a PDF, but it isn't an official document. For official e-invoices and e-Archive invoices you need an integrator connection.

The connection test keeps failing.

Use “Fix my billing details” in the error box to check the billing details in your Profile, and make sure you entered the new user you created on the portal as the username. If the problem persists, contact us at ajandam.app/iletisim.

Can my accountant see my invoices?

Yes. From “Accountant email settings” on the “e-Invoice integration” page you can invite your accountant to the panel or have your invoices sent as a weekly or monthly email report.

Which plan includes e-invoicing?

e-Invoicing is a Pro plan feature. You don't pay a separate integrator subscription; with Ajandam e-Invoice, credits are used per document.

Set up your e-invoice connection

Open the “e-Invoices” screen in the panel and set up your connection with the gear icon in a few minutes.
